Sweet Valley Community Market Vendor Registration & Participation Agreement

Thank you for your interest in participating in the Sweet Valley Community Market at Sweet Valley Farm — The Harvest Barn in Fort Valley, Georgia. Our goal is to create a welcoming Saturday market experience that supports local growers, bakers, makers, artisans, and small businesses while increasing access to fresh food and handmade goods for Middle Georgia families.

Vendor Space & Fee

Vendor participation is $50 for the month of July and includes one 10x10 outdoor vendor space for all scheduled July market Saturdays.

- No electricity is available.

- No water access is provided.

- Vendors must supply their own tents, tables, chairs, displays, extension cords, tent weights, and setup materials.

Submission of payment secures one 10x10 vendor space for the Sweet Valley Community Market for all scheduled July market Saturdays. Vendor spaces are limited and reserved on a first paid basis.

All vendor fees are completely non-refundable, including in cases of cancellation by the vendor, no-shows, weather conditions, scheduling conflicts, early departure from the market, or removal from the market for failure to comply with market policies.

Sweet Valley Farm reserves the right to approve, deny, or remove vendors at its sole discretion in order to maintain the vision, safety, professionalism, and balance of the market.

Vendor Responsibilities

By registering and submitting payment, vendors agree to the following:

- Vendors are solely responsible for complying with all applicable local, state, and federal laws, regulations, permits, licenses, inspections, taxes, and food safety requirements related to their business and products.

- Vendors selling food products must comply with all Georgia Department of Agriculture regulations and any applicable Cottage Food laws or health department requirements.

- Vendors are responsible for obtaining any required insurance, permits, certifications, or licenses necessary for operation.

- Vendors are responsible for the quality, preparation, labeling, storage, safety, and legality of all items sold.

- Vendors must maintain a clean, safe, professional, and family-friendly booth space at all times.

- Vendors must remove all trash, boxes, displays, and materials at the end of each market day.

- Vendors may not sell illegal, unsafe, counterfeit, prohibited, or offensive items.

- Vendors are responsible for collecting and reporting any applicable sales taxes.

Assumption of Risk & Liability Waiver

Participation in the Sweet Valley Community Market is entirely at the vendor’s own risk.

By participating, vendors agree to release, indemnify, and hold harmless Sweet Valley Farm, The Harvest Barn, Dr. Hamidah Sharif-Amanyi, affiliated staff, volunteers, students, landowners, and event organizers from any and all claims, damages, injuries, liabilities, losses, theft, accidents, foodborne illness claims, customer disputes, weather-related incidents, property damage, or expenses arising from participation in the market.

Sweet Valley Farm is not responsible for:

- Lost, stolen, or damaged property

- Product spoilage

- Vendor sales performance

- Injuries or accidents

- Weather conditions

- Customer disputes

- Vehicle damage

- Any damages or claims related to vendor products or operations

Vendors assume full responsibility for their booth, inventory, employees, assistants, setup, customers, and business operations.

Weather & Farm Conditions

The market is hosted on a working farm with gravel roads, grass, uneven terrain, outdoor conditions, insects, animals, mud, dust, and farm equipment nearby. Vendors acknowledge these conditions and agree to participate accordingly.

Market dates, layout, vendor placement, and operating procedures may change at the discretion of Sweet Valley Farm as needed for safety, weather, operations, or event management purposes.

Photography & Promotion

By participating, vendors grant Sweet Valley Farm permission to photograph and use images of booths, products, logos, business names, and market activities for promotional, social media, marketing, and advertising purposes without compensation.

Community Values

We are building a market rooted in community, hospitality, fresh food, creativity, and supporting local small businesses. Vendors are expected to contribute positively to the atmosphere and mission of the Harvest Barn community.
